UCLA/HSSEAS Cisco TelePresence System

UCLA/HSSEAS was donated a Cisco TelePresence 1000 System by the Cisco Research Center. The system allows for an immersive high definition video-conference experience with other users of similar systems. The experience is like sitting face to face with others in a virtual table. The system is available to anyone at UCLA and is currently hosted in the School of Engineering.
In addition to the Cisco donation of the system, UCLA Information Technology Services has donated the networking and communications equipment to extend the use of the system beyond the original three year period. HSSEAS continues to donate the space, scheduling and limited technical assistance.
The National LambdaRail (NLR) provides us with a network TelePresence exchange for connections to other Universities (see below for a list). NLR is the first interconnection of a research and education TelePresence exchange with a commercial TelePresence exchange. With NLR, we are able to perform a point-to-point and multi-point TelePresence meeting using a MeetMe phone number. At this time (September 2012), we are trying to be added to the Tata Communications exchange for additional international and some business connectivity.
How to Request Use of the System
You may use the TelePresence system to meet with any individual or individuals at the participating organizations. If an organization is not listed, please contact us to see if a connection can be made.
In order to make use of this room you will need to:
- check for availability of the Cisco Telepresence Room
- verify that your contactee(s) are participating organizations
- coordinate the meeting time with the contactee(s); they must request their own side's usage
Once a meeting time has been established, complete the following form to reserve the room: Meeting Request Form.
SEASnet staff will meet you at the room a few minutes prior to the start of your meeting to provide you with instructions on the use of the system. The room location is: 7702E Boelter Hall.
Please note that SEASnet reserves the right to change the request system in accordance to usage of the system.
Miscellaneous Information Regarding Use of the Room
There are some additional steps you can take to make sure that your meeting runs smoothly.
§ This room also doubles as a conference room so TelePresence meetings must be scheduled with SEASnet
§ Requests must be made at least 24 hours in advance during regular UCLA business hours
§ TelePresence meetings need to be scheduled during regular SEASnet's Hours of operation from 8AM - 4:30PM.
§ Make sure that the sign on the door is turned so that others know a meeting is in session
§ Do not turn on the circular recessed lights in the room - they cause glare and hot spots
§ The room works best with one person, but two individuals can be accommodated
§ Do not stand up during a session as others will only see your torso
§ Remember you are on camera at all times
§ Make sure to notify SEASnet staff ahead of time if you plan to use a computer to share presentations (if you are doing this remember that whatever shows on your computer screen will show up on the screen of the individual you are meeting with)§ If you need to cancel your meeting, as a courtesy to all parties, please let SEASnet know.
